By renting our product you agree to these terms and conditions:
Disclaimer: By renting our floral arrangements you understand that though some of these flowers look real, and are named after real flowers, they are in fact artificial, and therefore only resemble the real flower for which it is named after, or referred to.
Payments: The full payment for the rental is due up front.
In special cases, we allow for a split payment. In these cases, balance due must be paid in full at least 30 days prior to the wedding/event. If payment of balance due is not made, flowers and decor will not be delivered and your order will be cancelled. This contract will be closed at the determination of Timeless Arches. If Timeless Arches determines the contract can still be fulfilled after this date and you wish to continue the contract, there will be a 10% fee added to the balance due and an additional 10% fee for each 7 days that the balance is late. Any extraordinary costs incurred due to the late payment will be passed on to you.
If available, additional rental items can be added to the booking but must be received no less than 7 days prior to the wedding or event. These additional rentals must be paid for in full at the time of the booking.
Substitutions: We strive to always arrive with an impeccable product. Timeless Arches reserves the right to make substitutions in the event that the flowers or decor received are not of the quality suitable to the wedding/event. The integrity of the proposed look and color scheme will be maintained and flowers of equivalent value will be used. Timeless Arches will inform you if a dyed flower is being used and will not be held liable for the staining of any garments due to their usage.
Due to fluctuating flower prices, price increases may occur and will be passed onto the customer if their rental includes fresh flowers. The customer will be notified as soon as Timeless Arches is made aware of these increases. Timeless Arches will send the customer an invoice for the additional cost, to be paid within 30 days of the event.
Price is for one setup/location only. We are happy to move our offerings, but additional fees will apply if the desired rental items are to be moved from the primary location to a secondary location. Fees are based on the details of the requested move. We require our own team to move any Timeless Arches items. Our insurance explicitly states that clients may not move any rental pieces. Movement of our products will result in additional fees and our client will be liable for any damages to products or property.
Many of our products are very large. Please be sure to check with your venue to confirm our rentals will fit in the desired space. The measurements on our website are approximate and may shift as we make minor modifications to the design and shape of our pieces.
All orders include delivery, setup, and pickup, with a pickup time of no later than 9:00 PM, and delivery within 15 miles of our warehouse. Pickups scheduled past 9pm will incur an additional fee. The delivery cost for orders outside of 15 miles is typically $4 dollars per mile, but may be adjusted if the set-up requires additional attention from movers and/or florists. Please email us and we can give you a quote for this price based on your specific location and needs.
Any pickups past 9pm are subject to a late night pickup fee, which can be found below.

However, we will work with your venue for next-day pickups for indoor set-ups to avoid these fees when possible. This can only be made available if the product is not booked the next day, the venue is secured, and our team can facilitate a morning pick-up. We cannot guarantee next-day pick-ups.
Product Handling: Our products can be irreparably damaged by rain and excessively high winds. No rentals can be left outside overnight, including the arches, aisle flowers, faux trees, backdrops, or Timeless Arches products of any kind. The arches cannot be in the rain or excessive winds due to the damage that can be incurred. If there is rain or high winds in the forecast and the floral rentals are outside, our team will come for an early pick-up. No one is allowed to transport, take-down, or move our product without prior written approval. If our team is available, a location change to an indoor site may be arranged for our standard second location fee.
Any damage incurred to our product beyond natural wear while renting our items will be charged to your card in the amount of 2 times the rental price of the item. If an item is not available for pick-up within the rental agreement period of time, you will be charged 2 times the daily rental fee of the item for each day the item is unavailable for pick-up by the Timeless Arches team. Destruction of any rental item will be charged at 5 times the rental fee of that item. In addition, you will be liable for the loss of Timeless Arches revenue and any lawsuits brought against us by other clients who have booked rental items. Your credit card information is safely stored and will be deleted once the items are returned.
All décor details must be communicated to Timeless Arches to preserve the consistency of the wedding/event. Any décor for the wedding/event that is not provided by Timeless Arches is not guaranteed by Timeless Arches, even in cases where Timeless Arches items are integrated. In such cases where alterations are deemed necessary to preserve consistency, Timeless Arches will be blameless. No modifications can be made to any of our rental items unless they are made by members of the Timeless Arches team.
Venue and Location Limitations: Timeless Arches is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of The Customer; Timeless Arches will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations that are not communicated to Timeless Arches.
Cancellations: We do not offer a cancellation policy, as we lock dates when floral installations are booked by a client. The client is responsible for the full payment of the floral rentals. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding/event, we will work with you free of charge select another date.
Timeless Arches reserves the right to cancel this contract if at any time Timeless Arches feels that the obligations cannot be met. Timeless Arches will credit the amount paid, minus any actual costs incurred up to that point that Timeless Arches informs you.
Any controversy or claim arising out of or relating to this contract, or the breach thereof shall be settled by arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules [including the Optional Rules for Emergency Measures of Protection]. The arbitration hearing shall take place in Reno, Nevada before a single arbitrator. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
