Early Booking Offer

Book a wedding rental over $2,000 and receive a complimentary set of pedestals to rent (any size) — added to your order and confirmed in your booking email.

Must mention this deal at the time of booking. Offer valid for bookings made before the end of 2026.

Disclaimer

By renting our floral arrangements, you understand that though some of these flowers look real and are named after real flowers, they are in fact artificial, and therefore only resemble the real flower for which it is named after, or referred to.

Payments

The 50% down payment is required at the time of the booking and is non-refundable. The balance due must be paid in full at least one month prior to the wedding/event. If payment of balance is not made, this contract will be void at the determination of Timeless Arches. If Timeless Arches determines to continue the contract, there will be a $250 fee added to the balance for each week that goes by. Additional rental items must be booked up to five (5) days prior to the wedding/event and must be paid in full at the time of the booking for those additional items.

Payment Terms

  • 50% non-refundable deposit is required at booking to reserve your date and products.
  • Remaining 50% balance is due in full one month prior to your wedding date.
  • Bookings are accepted up to 18 months in advance.

Deposits for Large Pieces

A refundable security deposit is required when renting large pieces such as the arch.

Substitutions

We strive to always arrive with your specific order. Timeless Arches reserves the right to make substitutions. The integrity of the proposed look and color scheme will be maintained and the flowers will be of equivalent quality. Timeless Arches will inform you if a dyed flower is being used and will not be held liable for staining any garment or fabric due to their usage.

Floral Repurposing / Second Location Set Up

Want your ceremony florals moved and repurposed for your reception? We love that idea!

  • On-site repurposing (same venue): $250
  • Off-site repurposing (different location): $350

This includes chair ties converted to centerpieces — a beautiful and budget-friendly upgrade. Movement of our product by persons other than our staff will result in additional fees and our client will be held liable for any damages to the product. Our insurance explicitly states that clients may not move any rental pieces. Please do not move rental pieces as we are happy to take care of that for you.

Late Pickup Policy

  • Any pick ups after 10:00 PM are subject to a late night pick up fee.
  • 10:30 PM charge: $150
  • 11:00 PM charge: $200
  • 11:30 PM charge: $250
  • 12:00 AM charge: $500

Arch Rental

Don't have an arch? No problem — our arch is available as a standalone rental so you can still get the full look.

Product Handling

Our products will be damaged by rain or excessive high winds. Clients must have a detailed back up plan with their venue. If there is rain or strong wind in the immediate forecast, we strongly recommend using your back up plan or indoor set up to avoid the $500 "Panic Moving Fee". This fee will be added to the original contract amount.

Any damage incurred which renders the product unrentable beyond natural wear and tear will be charged the product's retail rate times three. If any items are removed and not returned, you will be charged ten times the rental cost of those items.

Your credit card information is safely stored and will be deleted once the items have been returned. Any decor for the wedding/event not provided by Timeless Arches is not guaranteed by Timeless Arches even in cases where our products are integrated.

Venue and Location Limitations

Timeless Arches is limited by the rules and guidelines of the venue location and site management. Negotiation with the officials for moderation of guidelines is the responsibility of the client. Timeless Arches will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Timeless Arches.

Cancellations

Timeless Arches does not offer a cancellation policy. We lock dates when floral installations are booked by a client. If you cancel thirty (30) days prior to the wedding/event, you do not need to make the 2nd payment and no refund will be given. In the event of war, fire, tragedy, pandemic, natural disaster or other emergencies within seven (7) days of your wedding/event, we will work with you, free of charge, to select another date.

Timeless Arches reserves the right to cancel this contract if at any time Timeless Arches feels that the obligation cannot be met. Any controversy or claim arising out of or relating to this contract, or breach thereof, shall be settled by arbitration administered by the American Arbitration Association in accordance with its commercial Arbitration rules. The arbitration hearing shall take place in the city and state of the event before a single arbitrator.

We primarily serve Reno NV, Lake Tahoe, and Sacramento CA and surrounding areas. Outside our area? Call us anyway — we just might need a vacation.
